Terms & Conditions of booking and Cancellation Policy

Below are our general Terms and Conditions of booking for The Croft, Bolstone, Hereford.

Terms and Conditions

  1. General

This is a legally binding contract between the Owner, R.M. Powell and the Guest. The Owner is also referred to as “we” and “us”.

The Guest is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The Guest must be over 18 years of age at the time of booking. The Guest is also referred to as “you”.

The property referred to being (The Croft), Willowbank, Bolstone, Hereford, HR2 6ND.

  1. Bookings

A 10% booking deposit is payable at the time of your booking. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.

The balance of the property booking, is payable not less than 4 weeks prior to the start of the holiday. Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the Guest. Please be sure to note the due dates of these payments as reminders are not routinely issued.

Bookings made less than 4 weeks prior to the arrival date must be paid in full at the time of booking.

  1. Cancellation

Cancellation of the booking by the Guest should be made in writing and sent by email to info@thecroftwyevalley.co.uk. You must not treat your booking as cancelled until you have received a reply (this is to prevent emails getting lost in spam).

Once the holiday is booked the Guest has entered into this contract with the Owner. If the Guest cancels, for any reason (including medical and weather related) no refund of the deposit will be due. If the Guest cancels within 4 weeks of the holiday no refund is due to the Guest.

We strongly recommend you take out holiday cancellation insurance.

We are happy to provide confirmation of bookings and copies of documentation for the purpose of making holiday insurance claims.

  1. Cancellation by the Property Owner

The Owner will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes unavailable, and the Owner must cancel the booking, the Guest shall be entitled to a full refund. The Owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.

  1. Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made, and some things do change. The Guest accepts that no refunds are available for such discrepancies.

The Owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

The Owner is entitled to ask the Guest to leave the property without any refund if, in the Owner’s opinion, the behaviour of the Guest and/or his/her party is unacceptable.

The Owner reserves the right to refuse entry to anyone, who in the Owner’s opinion is not suitable to or capable of taking charge of the property.

The Croft does not permit stag or hen parties or any events/parties – it is to be treated as a domestic home throughout the stay.

  1. Number of Guests

The maximum number of people entitled to stay at this property is 10. The Guest must declare the correct number of additional guests during booking and, if this changes, must inform the Owner before the rental commences of any change. No more than the maximum number of persons stated may occupy a property unless by prior written agreement with the Owner. Subletting or assignation of the let is prohibited.

  1. Pets

Two dogs are allowed in communal areas only.

Dogs must be well-behaved and should not be left unattended in the property. They are not permitted in the bedrooms or on any furniture in the property. If damage or extra cleaning is caused by pets the Guest will be billed for that charge. The garden is not guaranteed as secure for dogs.

  1. Guest Responsibility

The supervision of children, babies, dogs and any adults requiring care remains the responsibility of the Guest at all times. Guests should put all furniture etc back to where it was at the beginning of the rental period. Guests should not leave any items at the property and, if left, the Owner has the right to charge for the removal, return or disposal of those items.

  1. Smoking

The Croft has a No Smoking or Vaping policy within the property.

  1. Arrival and Departure Time

Every effort will be made to have the property available from 16:00 on the day of arrival. The property must be vacated by 10:00 on the day of departure (unless otherwise agreed). Late departure may result in an additional charge being made. Information about entering the property will be provided once payment is received in full.

  1. Liability

The Owner takes no responsibility for the personal possessions of the Guest or the Guest’s party. Vehicles and possessions are left entirely at the risk of the Guest. Guest’s are strongly advised to insure their personal items as they are not covered under the Property Owner’s Insurance.

Children must be supervised at all times.

  1. Cleaning

The Guest is responsible for leaving the accommodation in good order and in a clean condition; otherwise, a cleaning charge will be levied. Please note that the convention for UK Holiday cottages is that Guests are expected to leave the property in a similar state to which they find it (reasonable cleaning excepted). Please abide by this convention so we can continue to provide good value for guests.

  1. Damage, Loss or Theft

The Guest’s should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. Any accidental damage or breakages should be reported to the Owner prior to departure. The Owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the Owner) will not be charged for.

Guests should not remove any item from the property. The Owner may ask for reasonable replacement costs.

  1. Electric Vehicles

Electric vehicle (EV) charging is only permitted from the designated charging point. EV charging will be billed separately at the end of the stay.

  1. Complaints

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the Guest to make any such problem known to the Owner immediately as it becomes apparent, thereby giving the Owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.

The Owner will make every endeavour to rectify any identified problems as soon as is reasonably possible.
